Office Assistant
We are seeking a compassionate, caring, and enthusiastic Office Assistant to join our growing team. The position is part-time with competitive compensation according to experience level and performance.
This dynamic position involves interacting with patients in-person and on the phone, handling the schedule, answering the phones, filing paperwork, completing data entry tasks, managing payments and small amounts of retail transactions, and explaining pelvic floor physical therapy to new patients. We believe the person at the front desk is a vital part of the team, serving as the face and first impression of our practice and is crucial to the success of our business.
The position currently requires 25 hours per week, Monday – Friday. Morning or afternoon shift depending on the day. Flexible hours within needs of the practice is a benefit of the clinic.
Principal Duties
Greeting patients promptly and kindly when they enter the clinic
Scheduling/communicating with patients over the phone, email, or in-person
Promptly responding to prospective patient inquiries
Handling daily scheduling, filling cancellations, and scheduling follow-up appointments
Positively representing the clinic over the phone and in-person
Handling and organizing patient information, while following privacy laws and guidelines
Communicating with other providers regarding scheduling and follow-up care
Maintaining clinic cleanliness and appearance
Assisting with additional projects as directed by owner
Qualifications and Skills
Minimum one year experience in customer service setting – experience as receptionist or office assistant in healthcare setting strongly preferred
Proficient in Microsoft Word, Excel, and Google Documents
High school diploma is required
Ability to interact in a professional and courteous manner with patients and coworkers at all times
Ability to receive patient payments, use a multi-line phone system, handle email and e-fax communications
Ability to learn and communicate about pelvic floor physical therapy and various diagnoses that are seen at the clinic, including discussing potentially sensitive topics including but not limited to bowel and bladder function, sex, breast health, pregnancy and birth
Ability to interact in a kind and respectful manner with patient and family members including children
Strong communication skills in-person and on the phone
